We are seeking to appoint an Executive Support officer to assist at our Sydney office, working closely with the CEO and the Board of Directors. We are looking for someone who is self-efficient, organised, team oriented, keen to learn all aspects of the business and have the ability to think outside the square.

The position will also provide high quality and confidential secretarial and executive support services to the Board of Directors and Executive teams. 

To be successful for an interview you must have the following:
  • Minimum of 2.5+ year's EA experience
  • Ability to multi task (essential)
  • Current experience in minute taking
  • Intermediate Microsoft Word, Excel and PowerPoint
  • Minimum touch typing speed of 50 wpm
  • Attention to detail and a quick learner
  • Well-spoken and presented
  • Worked in a team environment and able to work unsupervised
  • An understanding of the Aboriginal Community Control Health Organisation and the not-for-profit sector policy (essential) 
  • Proven experience in providing a high standard of administrative and executive support in a dynamic, Aboriginal cultural focused business environment while displaying a high degree of judgement, initiative and confidentiality (essential)
  • Excellent verbal communications with ability to communicate effectively with Aboriginal people, government stakeholder regardless of seniority, including ability to convey complex information in an acceptable way

Responsibilities include:

  • Monitor CEO email, diary systems
  • Examine, evaluate and prioritise correspondence and papers for the CEO's attention, reviewing and attend to emails; drafting quality written correspondence in a timely manner
  • Constructively and positively contribute to quality improvement in a changing and ambiguous environment
  • Coordinate Board meeting dates, and attendances, together with any other relevant committees
  • Attend Board meetings (when required) and take comprehensive and accurate minutes, distribute draft minutes to the Board
  • Prepare and collate papers for distribution to Board of Directors
  • Prepare reports, agendas, minutes, action items and correspondence on behave of the CEO and Managers
  • Develop, maintain and improve administration systems and processes and maintain confidential storage of records and documents
  • Undertake project management and tasks as instructed by the CEO
  • Manage the processes and tasks surrounding the annual cycle of Board and sub-committee meetings, including agendas, minute taking, maintaining action lists and other associated activities
  • Assist in the development of submissions or written responses for government process and funding agreements
